TERMS AND CONDITIONS OF ENTRY

INTRODUCTION
The following terms and conditions apply to entries to the South African Safari Rally organised by SOUTH AFRICA RALLY RAID (PTY) LTD, a company incorporated according to the laws of the Republic of South Africa with registration number 2024/050063/07, located at 79A Bellairs Drive, Glenvista, Johannesburg, 2091.


ENTRY PROCESS

In order to enter the event, you must complete the entry form for your category, found at the link on the rally’s website and make payment of the entry fee as stipulated below. In addition, you must:

  • Supply all the requested documents by no later than 30 April 2025.
  • Be at least 18 years of age.
  • Be in possession of a FIM or FIA international competition licence, issued by your national sporting authority, appropriate to the category in which you are entering.
  • Have proof of and be in possession of a valid driver’s licence appropriate to the vehicle entered. In order to meet local regulations, you will require an international driving permit if your licence is issued in a language other than English and without an English translation therein. Please note that documents attesting to the loss or theft of a driving licence will not be accepted.
  • Have the authorisation (visa) from your National Motorcycling Federation (FMN) in the case of motos or your national sporting association (ASN) in the case of autos. (Please note that in some instances this authority is endorsed on your competition licence while other national federations issue this document separately. If you are uncertain, please consult the federation which issued your licence.)
  • The organisers of this rally reserve the right to refuse the registration of any team, member of a team, competitor or media person.
  • Your entry will not be final until payment of the full entry fee as stipulated has been paid.

Please use [Driver’s Surname/Class] as the payment reference number when making your payment. The full entry fee is to be paid by no later than 30 April 2025 and a copy of the transfer instruction forwarded to entries@sasafarirally.co.za.

Only a single payee per vehicle and/or team will be accepted. Payments must be made exclusively by bank transfer utilising the reference supplied to you. A single invoice will be provided for the services rendered by the South African Safari Rally at the address and name provided by the team. The invoice will be emailed by no later than 30 days after the event.


INDEMNITY

Every registered participant in the South African Safari Rally 2025 is fully aware of the risks involved in participating in an event of this nature. Each registered participant exonerates and indemnifies, on submission of the entry, South Africa Rally Raid (Pty) Ltd, its representatives, employees, service providers, and/or any person acting on its behalf, Motorsport South Africa (MSA), the Federation Internationale de l’Automobile (FIA), and the Federation Internationale du Motocyclisme (FIM) on their own behalf and on behalf of their service crews, suppliers, agents, and navigators, against all criminal and civil liability in the event of any physical or material accident as a result of participation in the South African Safari Rally 2025 and/or in the case of damage occurring in the competition and/or by or to assistance, service, or support vehicles.


MEDICAL AND REPATRIATION

While the organisers will provide the mandatory insurance which will be detailed in the Supplementary Regulations for the event, participants are reminded that this relates only to riders, drivers, and navigators, and that it is their own responsibility to make suitable arrangements for all other persons associated with their entry into the event. In the event of hospitalisation or other medical treatment, the injured party or patient may be required to settle all invoices relating to their treatment prior to discharge. It shall be their own responsibility to recover these expenses under the policy of insurance. Neither the organisers nor MSA shall have any responsibility in this regard other than the provision of necessary information under their control.


CONDITIONS OF CANCELLATION

In the event of any participant cancelling or withdrawing their entry the following shall apply:

  • Withdrawal prior to 7 March 2024 – 100% of the entry fees paid to date will be refunded.
  • Withdrawal between 7 March and 31 March 2025 – 50% of the entry fees paid to date will be refunded.
  • Withdrawal after 31 March 2025 – no refund will be made.

The organiser will not be obliged to refund any amount greater than the amount received in local currency and will be entitled to deduct any bank charges incurred.


FAILURE TO SECURE PERMISSION TO START

If, as a result of administrative and/or technical checks, a team or vehicle is prohibited from starting the event, there will be no right to claim a refund of any amounts paid for any reason.


CANCELLATION OR POSTPONEMENT

If the event is postponed and reorganised at a later date, for any reason whether it can be attributed to the organisers or not, the entry fee paid will be retained with no right to claim a refund, but the participant will be entitled to participate in the postponed event at no additional charge.

If the event is cancelled, for any reason whether it can be attributed to the organisers or not, the organisers shall be obliged to refund all amounts already paid, less an administration fee of 25% of such amount.

In both instances, the reimbursement of any amounts paid to accommodation and other service providers will be governed by the terms and conditions of sale of such service providers.


SECURITY EQUIPMENT

The rental of GPS, Iritrack, and ERTF security equipment is not included in the entry fees nor is the cost of purchase of fitting and fixture kits and accessories for this equipment. The equipment is to be ordered directly from the service providers; order forms will be made available on this website.

It is imperative that the kits be installed before the start of technical checks and that the electrical connections be operational. For each piece of equipment, a deposit will be required at the time of administrative checks by the service provider in order to guarantee restitution or repairs in the event of damage.


INSURANCE

It is the responsibility of the participants to ensure that the insurance of their vehicle is valid for use in the Republic of South Africa. The organisers will ensure that the mandatory insurance required by the FIA and FIM, covering medical expenses, repatriation, and public liability for riders, drivers, and navigators, is in place and will be detailed in the supplementary regulations.


ACCOMMODATION

Accommodation reservations may be made through the event website, at the following link, from where you will be directed to a third-party provider.


TRANSPORT

The transportation of vehicles and competitors to and from the event is not included in the entry fees. The organiser is arranging special packages for sea transportation from the Abu Dhabi Desert Challenge and from the port of Rotterdam. You are invited to contact the organisers via email at info@sasafarirally.co.za in the event of your wishing to make use of these services.


IMAGE RIGHTS AND INTELLECTUAL PROPERTY

Participants in the South African Safari Rally recognise and understand that it is a promotional event from which they can benefit by the recognition afforded them and their sponsors as a result of their participation in the event. The participants recognise that the organisers and promoters of the event hold all the rights necessary for the production and broadcast, by any means and in any medium throughout the world, of images and sounds relating to the event. Participants are not authorised to use the mark and logos of the “South African Safari Rally”, nor the following domain names, “southafricansafarirally”, “sasafarirally” and “sasafari” regardless of the top level domain name (for example .com, .fr, .uk, .net, .org), whether or not in combination with any domain extension (for example, .co, .org, etc), without the written permission of the organisers.

A dedicated participant logo will be available to participants for download on request along with the usage guidelines for the use of the logo which are to be respected. Any breach of the usage guidelines may result in the withdrawal of consent for its use. Requests in this regard should be addressed via email to info@sasafarirally.co.za.

In order to allow the greatest possible publicity and promotion of the South African Safari Rally, any person participating in the event and who is subject to its regulations, authorises the organiser and any person designated by the latter, to represent and reproduce, without any form of remuneration or royalty, their names, voices, images, biography, sporting history and details of their participation in the event. In the same way, the organisers shall be entitled to use the brands of their equipment suppliers, makers, and sponsors, in any format, for any communication to the public throughout the world, including advertising or commercial purposes, without limitations and for a period of 10 years.

Participants cede to the organisers and their sponsors and commercial supporters, on their own behalf and on behalf of their sponsors and/or the manufacturer of their vehicle, the right to, within the exploitation of the publicity derived from the event, reproduce totally or partially, at the discretion of the organiser, in any current or future publicity, throughout the world, without limitation, for a period of 10 years, the brand names or logos of their sponsors and/or visuals of the said vehicles.

The taking of aerial images (via drone, helicopter, or similar technology) is specifically prohibited by the organisation of the event in order to protect the official television production of the event. The filming of images of the event, whatever the means used and the destination thereof, is subject to the prior written approval of the organisers. For this purpose, written requests must be submitted to the organisation before 9 May 2025.


PROTECTION OF PERSONAL DATA

All participants acknowledge and accept that the personal data contained in the entry form and any other documents signed or submitted by them in connection with the event will be compiled into a database by the organisers, for the sole purposes of the safety and security of participants and for communication with the competitors. The sole recipients of this data will be the organisers and promoters of the championship, and the database will not be shared, sold or distributed in any other way to any other party. All such personal data will be governed by the provisions of the Protection of Personal Information Act of the Republic of South Africa, No. 4 of 2013, in terms of which participants have, inter alia, the right of access and deletion.

In the context of my participation, I agree that the organiser may pass on my data to its subcontractors and to any authority that may request it, and that the organiser may collect information about me, in particular by means of polls, surveys or questionnaires for the purposes of improving the event and the services relating thereto. Participants further consent to the publication of live tracking data showing the position of their vehicle at any time during the event.


APPLICABLE LAW AND JURISDICTION

All participants agree that the conditions of registration and any contractual relationship between the organiser and any participant will be governed by the laws of the Republic of South Africa. Any dispute arising between the parties will be adjudicated in the courts of the Republic exclusively.


CODE OF CONDUCT

Any person participating in the South African Safari Rally 2025 in whatever capacity commits to abide by this code of conduct which reflects the values of the event. By taking part in the event, the competitors and participants, their staff and invitees generally undertake to abide by and respect the customs of the country, its inhabitants, and the areas passed through. Behaviour should be responsible and respectful of the environment; waste should be disposed of appropriately after sorting for recycling into the appropriate collection points; oil and other petrochemical waste or items soiled with such waste should be disposed of at the collection point in the bivouac. No waste or damaged components are to be left along the route. Signage indicating the presence of archaeological sites or sensitive environmental zones shall be respected. Competitors, riders, drivers, and navigators shall favour their own safety and that of others in all circumstances and avoid in any given circumstance taking any action which might endanger other persons. Competitors, riders, drivers, and navigators acknowledge that they are subject to the event regulations and that they have full knowledge of the safety rules set out therein and, in particular, those relating to speed control and limitation when crossing inhabited areas, acknowledging also that regardless of any situation in relation to the competition, absolute priority must always be given to the safety of people.
